Processing of payroll and employee onboarding by importing and transforming data across platforms to integrate with the ADP Workforce now platform.

This is our permanent client and One of our major tasks is to do biweekly payroll for about 700 employees spread across 3 states, 4 Entities and 80 store locations. Their timesheet data is compiled from POS system reports and processed using ADP WFN software.

We use  about 20 different excel power query transformations to process payroll. We have avoided any data entry or manual updation of records in ADP WFN making it fast, efficient and error free.  We read time sheet data from POS exported files and some specific data for new employees and changes from a Google form to automate various payroll tasks. Employee data is matched to a separate database maintained for employee ID matching from POS to ADP Ids.

We use a combination of Google forms to onboard new employees, and upload their data using Excel files to ADP. We also process calculations for employee incentives, Miles, Vacation and PTO hours.  We process batch uploads of payroll data,  new employee uploads, employee terminations, rehires, direct deposits into ADP WFN platform.

We also do PTO adjustments by uploads,  Employee pay data change, Employee Status change by uploads.

The complexities and checks involved are many, as in retail, many employees leave and join on a seasonal basis. Final pay data is split to 4 entities to be uploaded as separate batches to ADP WFN platform, with report headers and footers all made using excel power queries. So we have approx 30 new hires, terminations and rehires every cycle. We also communicate with stores for missing or incorrect data.


Our process also checks to verify that duplicate employees who work in different stores are paid in a single pay stub. Miles and Incentives data sent in hours using TMS columns is calculated to be converted to $ amounts as per other logics.  We keep track of various rules for Part time and full time employees, Hourly and salaried employees, Senior employees not clocking in who are required to be paid and not made inactive. We keep track of state specific PTO policies to be used etc.


We have also developed transformation field mapped files to upload 401K data.  Data received for 401k employees is received via google forms and uploaded biweekly to JP Morgan 401k site.


We have built 5 other excel PQ based on past payroll data, to show analytics and summaries for Incentives, Overtime, PTO. Store wise payroll expense, Sales to Salary Ratios Etc.  We give a weekly report complete with summaries and analysis of Incentives, Miles, Overtime, PTO across stores. We give a list of physical checks to be made for employees not having direct deposit data.  We do various validation checks to ensure all employees have  correct data going into final batches of ADP.
